About the Role

Are you organized, empathetic, and great at multitasking? If so, this Intake and Billing Coordinator role could be a perfect fit! Working remotely for a U.S.-based company (mostly law firms), you'll be the key point of contact for clients — guiding them through intake processes, managing billing, and ensuring smooth communication across teams. Your attention to detail and friendly approach will help clients feel supported every step of the way.

What You’ll Do

  • Manage client progress through the sales pipeline, ensuring timely follow-ups so no step is missed.
  • Monitor automated workflows and follow up via email, text, and phone to help clients complete necessary steps.
  • Collaborate closely with Client Happiness Coordinators, Office Managers, Intake teams, paralegals, and attorneys.
  • Respond to emails and calls promptly (within 24 hours) using approved communication scripts.
  • Keep detailed records of all client interactions in the CRM (Lawmatics).
  • Assist with scheduling appointments and updating calendars.
  • Maintain a tickler system to track tasks and deadlines effectively.
  • Follow up with team members to ensure timely submission of billable hours.
  • Issue monthly invoices, track payments, and manage overdue accounts.
  • Handle billing inquiries, apply credits/refunds, and coordinate vendor payments with professionalism and discretion.

What You Need to Succeed

  • Education: High school diploma or equivalent required; an associate’s degree or relevant certifications in office administration or business is a plus.
  • Experience: 1-2 years in customer service, billing, or collections roles, preferably within a law firm or similar service environment.
  • Familiarity with CRM systems — experience with Lawmatics is preferred.
  • Strong organizational and multitasking skills with the ability to work independently and meet deadlines.
  • Excellent communication skills (written and verbal) in English.
  • Comfortable using Microsoft Office and other email/calendar tools.
  • Friendly, empathetic, and detail-oriented personality with a willingness to learn and adapt.
  • Ability to manage a medium volume of calls and prioritize communication across different channels (email, text, phone).

Software Skills

  • CRM: Lawmatics (preferred)
  • Microsoft Office Suite (Outlook, Word, Excel) or similar tools
  • Experience with billing platforms or billing CRMs is a bonus
