Position Overview

Key Responsibilities

Business & Systems Management

  • Manage CRM workflows using GoHighLevel (funnels, automations, campaigns, tagging)
  • Build and maintain online courses and program access
  • Create and update Standard Operating Procedures (SOPs)
  • Track team deliverables using Asana
  • Organize and oversee meetings, including agendas, notes, and follow-ups
  • Perform quality assurance on emails, funnels, and forms before launch
  • Keep digital file systems organized across Google Drive, Dropbox, etc.
  • Ensure seamless integration and functioning of all tech systems

Executive & Administrative Support

  • Manage complex CEO calendars across multiple time zones
  • Schedule meetings, interviews, and speaking engagements
  • Prepare agendas, briefing documents, and follow-up tasks
  • Monitor email inboxes, draft responses, and maintain communication flow
  • Coordinate travel plans and manage expense tracking
  • Support live virtual events (Zoom setup, chat moderation, recordings)
  • Handle personal appointments and errands for the CEO as needed
  • Maintain strict confidentiality of sensitive business and personal information

Marketing & Communications

  • Draft and format newsletters and marketing emails
  • Upload and QA website, blog, and social media content
  • Manage social media calendars and engagement
  • Support promotional campaigns, product launches, and partnerships
  • Maintain press kits and outreach materials
  • Manage affiliate and joint venture partner onboarding and tracking

Client Experience & Customer Support

  • Respond promptly to customer inquiries via email, chat, and direct messages
  • Onboard new clients with clear, precise communication
  • Troubleshoot tech and access issues for clients
  • Monitor client calls and satisfaction surveys
  • Maintain accurate client records and escalate high-priority issues with solutions

Requirements

  • Experience:
  • Minimum 3 years as a Technical Virtual Assistant or similar role
  • At least 2 years working in marketing or strategic support functions
  • Proven experience building funnels, launching campaigns, and optimizing landing pages
  • Education:
  • Bachelor’s degree or equivalent experience in Business Administration, Marketing, Communications, or related field preferred
  • Skills & Attributes:
  • Exceptional attention to detail and follow-through
  • High proficiency with digital tools (GoHighLevel, WordPress, Webflow, Asana, Slack, Calendly, Google Workspace, Microsoft Office, Dropbox, Canva, Photoshop, ChatGPT)
  • Proactive, self-motivated, and confident decision-maker
  • Excellent written and verbal communication skills
  • Ability to work independently in a remote environment with minimal supervision
  • Comfortable working some evenings and weekends regularly
  • Reliable internet and distraction-free home workspace

Work Schedule

  • Full-time, 40 hours per week
  • Standard hours: 8 am – 5 pm EST (Monday to Friday), with exceptions:
  • Tuesdays: 7:30 – 9:30 pm EST (for live online events)
  • Monthly Saturdays: 11 am – 2 pm EST and 7:30 – 9:30 pm EST
  • Must be flexible for occasional evening and weekend work
