About the Role

We’re seeking a detail-oriented Senior Payroll Specialist to manage payroll operations for multiple small business clients across various states. You’ll ensure accurate, timely payroll processing while maintaining compliance with federal and state regulations. Your role will also include supporting payroll platform migrations and driving process improvements to boost efficiency and client satisfaction.

What You’ll Do

  • Process and review multi-state payrolls (weekly, biweekly, semimonthly, monthly) for 40-60 clients using systems like Gusto, ADP, Paychex, and Justworks.
  • Lead or assist with payroll platform migrations, ensuring smooth data transfers and compliance.
  • Manage earnings, deductions, reimbursements, and benefits setups including 401(k), HSAs, FSAs, stipends, and garnishments.
  • Ensure compliance with wage laws across all 50 states, including overtime and final pay rules.
  • Reconcile payroll journals, tax liabilities, and GL postings in coordination with accounting teams.
  • Troubleshoot payroll tax filings and resolve issues with federal and state agencies.
  • Maintain accurate databases of tax registrations and filing requirements.
  • Act as a key point of contact for clients, delivering professional communication and expert payroll guidance.
  • Collaborate cross-functionally with bookkeeping, tax, and HRIS teams.
  • Contribute to SOPs and process improvements to scale operations efficiently.

What We’re Looking For

  • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent work experience).
  • Experience: Minimum 5 years of payroll experience, including multi-state payroll processing and direct client interaction.
  • Proven knowledge of payroll tax filings (federal and state) and ability to resolve discrepancies.
  • Hands-on experience with state withholding and unemployment account registrations.
  • Strong understanding of labor laws (overtime, final pay, wage theft prevention, exempt/non-exempt status).
  • Familiarity with benefit deductions like 401(k), including pre- and post-tax setups.
  • Experience using payroll platforms such as Gusto, ADP, Paychex, Justworks, or Rippling.
  • Excellent communication skills in English.
  • Ability to work effectively in a fast-paced, remote, client-facing environment.

Bonus Skills

  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
  • Experience with quarterly payroll corrections (941-X, state amendments).
  • Knowledge of Secretary of State registration or business compliance.
  • Background in public accounting or client advisory roles.
