About the Role

The Department of Agricultural Economics, Sociology, and Education (AESE) at Penn State University is seeking a highly organized and proactive Academic Program Coordinator to provide administrative support to three graduate programs.

This is a key position working closely with graduate directors, faculty, and students to ensure smooth operation of academic processes. If you're detail-oriented, enjoy student-focused work, and thrive in a dynamic academic setting—this role is for you.

Your Responsibilities

  • Manage graduate admissions and communications with prospective students
  • Coordinate exam scheduling and tracking with the Graduate School
  • Maintain accurate academic records using LionPATH
  • Process assistantships and appointments in WorkLion
  • Maintain graduate student databases, email listservs, and department web pages
  • Organize graduate orientation and track training progress
  • Assist with fellowship nominations and awards
  • Ensure smooth daily operations within the graduate program office

Education & Experience

Required

  • High School Diploma or GED
  • 2+ years of relevant administrative or academic program support experience
  • Or an equivalent combination of education and experience

Preferred

  • Associate or Bachelor’s degree in Education, Business Administration, or related field
  • Experience with graduate program coordination
  • Familiarity with higher education systems like LionPATH and WorkLion
  • Experience in student records management or university admissions

Key Skills Needed

  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Comfortable working independently in a collaborative team environment
  • Ability to maintain confidentiality and attention to detail
