About the Role

As a Correctional Records Officer, you will manage and audit offender records to ensure all inmates are confined according to court orders and Oklahoma State laws. This crucial role supports the Department of Corrections by maintaining accurate, up-to-date offender files, calculating sentence time, and coordinating with law enforcement and court officials.

Key Responsibilities

  • Maintain comprehensive offender records, including time served, sentence sequences, credits earned or lost, misconduct reports, and offender movements.
  • Calculate time served and credits, and generate monthly reports for offenders.
  • Audit files to ensure accuracy and compliance with court and state regulations.
  • Handle legal mail related to judgments, sentences, and court modifications.
  • Process offender transfers, discharges, paroles, and sentence rebills.
  • Monitor and report daily inmate counts.
  • Communicate with law enforcement, attorneys, courts, offenders, and their families regarding offender information.
  • Prepare extradition and Interstate Agreement of Detainers paperwork; testify in court as needed.
  • Supervise clerical staff managing offender files, escape charges, misconduct hearings, and parole processes.
  • Provide training on records management to departmental and private prison personnel.

Required Knowledge, Skills & Abilities

  • Strong understanding of court-ordered sentence administration and criminal justice system operations.
  • Proficient in managing offender records and performing mathematical calculations related to sentences.
  • Ability to handle multiple tasks simultaneously and pay close attention to detail.
  • Excellent communication and interpersonal skills to work with diverse stakeholders.
  • Ability to interpret and apply policies, statutes, and procedures accurately.

Education & Experience

  • Education: Bachelor’s degree required (preferably in Criminal Justice, Public Administration, or related field).
  • Experience: At least 1 year of professional or technical administrative experience in business/public administration, correctional records management, or social casework involving offender classification and supervision.
  • Technical administrative experience includes performing complex clerical work under supervision.
