Job Description

We are looking for a reliable Administrative Assistant & Bookkeeping professional to support our sales and management teams remotely. This full-time role combines traditional administrative tasks with essential bookkeeping duties, including invoice processing, billing, and tax filings. The ideal candidate is detail-oriented, proactive, and capable of working independently in a fast-paced remote environment.

Key Responsibilities

  • Provide daily administrative support to sales and management teams.
  • Maintain and update spreadsheets, CRMs, and accounting systems accurately.
  • Manage invoices, billing, and sales tax processes, including filing and payments.
  • Enter property invoices and reconcile records in Microsoft Dynamics SL (or similar accounting software).
  • Track outstanding tasks and follow up with sales staff to ensure timely completion.
  • Assist in preparing contracts, internal reports, and other documentation.
  • Monitor shared email inboxes, respond promptly or delegate tasks as necessary.
  • Coordinate communication with vendors, internal teams, and accounting departments.
  • Manage schedules, appointments, and task prioritization efficiently.

Required Qualifications & Experience

  • Education: High School Diploma or equivalent required; additional coursework or certification in administration or accounting is a plus.
  • Experience: Minimum 2 years in administrative support, billing, bookkeeping, or accounting assistant roles.
  • Strong proficiency in Google Workspace, Microsoft Excel, and CRM/accounting platforms (experience with Microsoft Dynamics SL or QuickBooks preferred).
  • Good understanding of invoices, billing, sales tax filing, and account reconciliation.
  • Excellent organizational, multitasking, and communication skills (written and verbal).
  • Ability to work independently with accuracy and meet strict deadlines.
  • Comfortable using remote work tools such as task management and communication software.
  • Must have a professional home office setup with reliable internet.
