About the Role:

As an Executive Assistant supporting the Dean and Assistant Dean of Social Sciences and the College Dean's office, you will be the backbone of daily operations. Your responsibilities will include managing a high volume of complex scheduling, preparing correspondence, coordinating special events, arranging travel, processing expenses, and facilitating business purchases. You’ll work closely with senior leadership to ensure smooth communication and organization across the division.

Key Responsibilities:

  • Schedule and manage multiple meetings and appointments efficiently using digital calendar tools
  • Draft, edit, and send professional correspondence, ensuring accuracy and attention to detail
  • Coordinate special events and travel logistics for senior leaders
  • Track and submit expense reports and reimbursements timely and accurately
  • Maintain and organize complex filing systems and sensitive documents with confidentiality
  • Conduct research and analyze data to present concise reports and summaries
  • Communicate effectively with internal and external stakeholders, maintaining professionalism and discretion

What We’re Looking For:

Education:

  • Bachelor’s degree preferred (Business Administration, Communications, Social Sciences, or related fields)

Experience:

  • Minimum 3 years of experience as an Executive Assistant or in a comparable administrative role
  • Proven ability to handle high-volume scheduling and correspondence for senior leadership
  • Experience managing expense reports, travel arrangements, and event coordination

Skills:

  • Proficient with Microsoft Office Suite (Excel, Word, Outlook) and calendar management software
  • Strong analytical and problem-solving skills to evaluate information and suggest solutions
  • Excellent written and verbal communication, with exceptional grammar and editing abilities
  • Highly organized, detail-oriented, and able to prioritize competing tasks effectively
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Strong interpersonal skills to build positive working relationships with diverse teams
