Job Summary

We are seeking a motivated and detail-oriented Virtual Assistant to support our executive team remotely. This entry-level position is ideal for someone eager to develop their administrative skills within a fast-paced real estate environment. You will assist with calendar management, communication, document preparation, travel arrangements, and project coordination to ensure smooth daily operations.

Key Responsibilities

  • Calendar Management: Schedule and coordinate meetings across different time zones, prioritize appointments, and keep calendars organized.
  • Document Preparation: Create, format, and edit reports, presentations, and business correspondence using Microsoft Office Suite.
  • Email Management: Sort, prioritize, and draft professional email responses to ensure timely communication.
  • Data Entry & Management: Maintain accurate records in CRM systems and spreadsheets with attention to detail.
  • Travel Arrangements: Book flights, accommodations, and transportation while managing changes or emergencies.
  • Meeting Coordination: Organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Research: Conduct online research and compile relevant data to support projects and decision-making.
  • Project Management: Assist in planning and monitoring projects to meet deadlines and budget requirements.
  • File Management: Maintain organized digital filing systems, including secure data backup and sharing protocols.
  • Communication Coordination: Facilitate smooth information flow between team members, departments, and external partners.
  • Special Projects: Support diverse tasks such as corporate events, market research, or software implementation.

Qualifications

  • High school diploma or equivalent required; some college coursework preferred.
  • Prior administrative experience is a plus but not required.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Detail-oriented with a commitment to accuracy.
  • Positive attitude with a willingness to learn and adapt.
  • Familiarity with bookkeeping or basic accounting principles is a plus.

Education

  • High school diploma or GED required.
  • Associate degree or some college coursework in Business Administration, Office Management, or related field is preferred.
  • Relevant certifications (e.g., Microsoft Office Specialist) are advantageous but not mandatory.

Experience

  • Previous experience in administrative or virtual assistant roles is beneficial.
  • Experience managing calendars, emails, and documents in a remote setting preferred.
  • Exposure to real estate or property management sectors is a plus but not required.
